Medication Policy & Procedures

The health and safety of every child at Camp4Real is our highest priority. We follow certified camp protocols and Virginia safety regulations to ensure all medications are handled securely and responsibly throughout your camper’s week.

Medication Drop-Off & Storage

  • All medications (prescription or over-the-counter) must be turned in by a parent or guardian at check-in on the first day of camp.
  • Medications must be in their original containers, clearly labeled with:
    • Camper’s full name
    • Name of medication
    • Dosage and exact instructions for administration
  • Loose or unmarked medications will not be accepted.
  • All medications will be stored in a locked, secure location, accessible only to trained staff.

Who Administers Medications

Only trained Camp4Real staff members who are 21 or older may handle or administer medication. This includes:

  • Camp Director
  • Assistant Director
  • Camp Manager

Camp counselors and CITs are not permitted to handle or supervise medication use under any circumstances.

Medication Administration Guidelines

  • Medication will only be given according to your written instructions submitted at check-in.
  • No changes to timing or dosage can be made unless new written authorization is provided.
  • Every dose is logged in our Medication Log, including date, time, dose, and initials of the administering staff member.

Emergency Medications

  • EpiPens and inhalers may be carried by your camper only with written authorization and approval from our Camp Director.
  • Staff are trained to respond quickly and know where emergency medications are stored or carried.
  • In the event of a medical emergency, our team will follow Camp4Real’s Emergency Action Plan and notify you immediately.

Medication Pick-Up Reminder

All medications must be picked up by a parent or guardian at the end of the camp week. If medication is accidentally left behind, it is the parent’s responsibility to contact us as soon as possible so arrangements can be made for safe and timely retrieval. Medications will not be sent home with campers or staff and will be stored securely until pickup is coordinated.

Privacy & Confidentiality

We respect your family’s privacy. Medication details are shared only with staff who need to know to support your camper’s health and well-being.
