Inclement Weather Policy

Purpose:
At Camp4Real, the safety of our campers, staff, and families is our highest priority. This policy outlines our procedures for handling inclement weather, ensuring that all decisions are made with safety in mind, particularly considering road conditions for parent drivers, staff travels, and shuttle transportation, as well as the operational status of our facilities.

Alignment with ACPS:
Camp4Real aligns its inclement weather policy with the Albemarle County Public Schools (ACPS) system. We follow the ACPS guidelines for school closures, delays, and early dismissals due to severe weather. For reference, please see the ACPS Closing and Delays Policy. However,  there may be instances where Camp4Real makes an independent decision based on the specific needs and safety of our campers and staff, including road and facility conditions. Any such decisions will be communicated promptly.

Decision-Making Process:

  • Monitoring: We continuously monitor weather forecasts from the National Weather Service and other reliable sources.
  • Criteria for Action: Decisions to delay, close, or adjust camp activities are based on the following factors:
    • Severe Weather Conditions: Including but not limited to heavy rain, high winds, hail, snow, ice, flooding, and thunderstorms.
    • Road Safety: We take into consideration the safety of parent drivers and shuttle transportation on the road, especially in cases of flooding or hazardous high winds that could make travel unsafe.
    • Facility Status: If our building experiences power outages or other weather-related issues that impact our ability to operate safely, we may adjust the camp schedule accordingly.
  • Indoor Activities: If inclement weather occurs during camp hours, we will move outdoor activities indoors whenever possible to ensure the safety and continued enjoyment of camp. If weather conditions escalate, we may end the camp day early to facilitate safer shuttle transport or parent pickup.

Communication:

  • Timing: In the event of a delay or closure, we will notify parents by 6:30 AM on the affected day. In rare cases of rapidly changing conditions, notifications may be sent as soon as a decision is made.
  • Channels: Notifications will be sent via email and posted on our social media platforms (Facebook and Instagram).

Refund Policy for Weather-Related Closures
Unfortunately, due to the nature of our business, we must make staffing, meal, and other financial decisions in advance of every camp week based on the number of registrations received. As a result, we are unable to offer refunds for weather-related closures or delays. We appreciate your understanding and commitment to supporting the safety and well-being of our campers and staff.

Camp4Real reserves the right to update our inclement weather policy at any time as needed, based on changing conditions and unforeseen circumstances.
